Follow-up of events
What if Follow up?
All the things that have to be
done after a project, an event,
congress, party, etc., with the
intention to make the event not a
short-term hit,... but a lasting
success for the antenna!
Why Follow up?
-To fulfil your responsibilities towards all the people who helped you
-To share and advertise your success
- Because you learn, you master, and you pass through
The Day After...
- Collect participants addresses
- Thank all the speakers, participants, organisers and volunteers
- Give the speakers a gift and, if agreed upon, pay their travel costs
The Week after...
-Send a `thank-you'-card or picture to your sponsors and speakers
-Start working on gathering all the results of the event and on an evaluation
-Pay off all the expenses and remboursements
-Collect the results of workshops, plenaries, meetings, etc.
-Ask for pictures of the event from participants and organisers and publish them on the web site
-Prepare and send all the needed reports
The Month after
-Did all the sponsors pay their debts to you?
-Finish your result book of the event, complete with pictures and stories of the participants
-Think what value organisers, speakers and sponsors can have for future events and for your antenna in general
Afterwards...
-Transfer all your experiences to organizing teams of next events (or of other antennae)
-Show your result book to all future sponsors
-Encourage some of the organisers to join the board of your antenna or to take over other responsibilities
Concluding Remarks
-An event is not over until you took all the steps mentioned
-Start with follow-up as early as possible, this to make optimal use of the enthusiasm of the organisers as long as possible
-Don't forget; you've got a responsibility to your sponsors, to your antenna, but most of all to yourself. Don't quit when you are only half way!
