Preparing for Departure, Preparing for Arrival

1.

Purpose

With this documented procedure it should be ensured that before departure the ship is put into such an operating condition that the berth can be left safely and environmentally correctly and that the following voyage is under controlled conditions. Thereby the risk is distinctly reduced.

In so doing the ship's structural condition, facilities and equipment, occupation by passengers, cargo as well as existing and expected weather conditions will be taken into account.

The same applies to the arrival before a port, and the safe and environmentally correct reaching of the planned berth.

This documented procedure establishes the responsibilities and procedures for preparation for departure and preparation for arrival. Those responsible can clearly recognise their authority and their duties.

2.

Application

This Documented Procedure applies on all ships operated / managed by Schiffahrtskontor tom Wörden GmbH & Co. KG.

3.

Definitions and Abbreviations (refer to VA-001)

4.

Responsibilities

The master is responsible to make the ship ready to proceed and the preparing for departure and arrival. It is carried out by crew members from the appropriate area according to the crew structure and hierarchy.

5.

Description of Routines

5.1

Preparing for Departure

The ready to proceed takes place before leaving the berth, if the ship was not already prepared for sea / operating. This means, especially when dealing with small vessels, that when putting into port to quickly collect or drop off cargo, or making fast in a lock this documented procedure does not apply, so long as the ship remains in an operating condition.

The ready to proceed is carried out according to the existing checklists for the individual areas.

When all areas have reported ready to proceed and the bridge itself is also ready, the officer responsible on the bridge reports the ship ready for sea to the master.

The master cannot commence departure from the berth, if the ready for sea report has not been given.

5.2

Preparing for Arrival

Preparation for arrival takes place when the ship previously has been operating at sea and shortly will have to navigate in estuary waters where manoeuvring is to be expected. This means that in the case of warpage journeys between or within ports, involving estuary navigation exclusively, this documented procedure does not apply.

Preparing for arrival is carried out according to the existing checklists for the individual areas.

When all areas have reported ready to proceed and the bridge itself is also ready, the officer responsible on the bridge reports the ship ready for arrival / estuary navigation to the master.

The master cannot commence estuary navigation if the ready to proceed report has not been given.
