It is often possible and / or necessary to take persons, who are acting on behalf of Schiffahrtskontor tom Wörden GmbH & Co. KG , for example carrying out repairs, and dependants on board.

Due to the fact that only limited accommodation and live-saving equipment is available, and to the necessity to treat all staff equally, the following Documented Procedure should be used as a uniform guide to handling requests.

Application

This Documented Procedure applies to the Shorebased Organisation and on all ships managed / operated by Schiffahrtskontor tom Wörden GmbH & Co. KG.

Description of Routines

5.1

Seagoing Dependants

The crew member requesting permission to be accompanied by a seagoing dependent should lodge his request with Schiffahrtskontor tom Wörden GmbH & Co. KG's Fleet Manager via the Master. The request should give the following data and have the following documents attached:

  • Name of the dependent and how related to the crew member,

  • Date and place of birth,

  • Nationality,

  • Dates of voyage planned (from ... to), boarding and disembarkation ports,

  • Confirmation by the crew member that his dependent(s) possess(es) the necessary travel documents and vaccination certificates,

  • Confirmation by the crew member that he has been informed of and is prepared to comply with this Documented Procedure,

  • The Master's comments.

The Master appraises the crew member's request according to the following criteria:

  • Is the necessary accommodation available on board and, in particular, the necessary life-saving equipment?

  • How long does the dependent intend staying on board?

  • Which is the ship's intended trading area?

  • Charter Party

  • Conduct and performance of the respective crew member.

He then acknowledges or declines permission and passes the request on to Schiffahrtskontor tom Wörden GmbH & Co. KG.

The request is then scrutinised by the Fleet Manager, which takes the final decision. Should permission be granted, Schiffahrtskontor tom Wörden GmbH & Co. KG issues the seagoing dependent with a deviation insurance, the cost of which is borne by the respective crew member.

Upon boarding the ship the seagoing dependent signs a Letter of Indemnity. If this is not signed, permission to travel on the Company ship is not granted. Seagoing dependants are always informed of the Master's authority.

5.2

Seagoing Technicians, etc.

Seagoing travel planned for technicians is arranged by the Fleet Manager with the shipboard management. The superintendency receives confirmation from the technician's firm of employment that he possesses the necessary travel documents. A deviation insurance is also issued for such persons.

Shipboard management and the port agents are given notice of a technician's arrival at the port of boarding, or they arrange for his/her transport on board. Upon boarding the ship, the technician is informed of the Master's authority.
