Maintenance of Ship, Engine and Equipment

1.

Purpose

The good technical condition of the ship and its equipment is of fundamental importance for the ship's safety, maritime environmental protection and the quality of services. Because of this Schiffahrtskontor tom Wörden GmbH & Co. KG places special value on the planned maintenance of the ship, engines and equipment.

The possibility of unforeseeable damage occurring can thereby be minimised. On occasion where this does however occur, specialist repairs will promptly restore a proper condition.

Application

This Documented Procedure applies on all ships managed / operated by Schiffahrtskontor tom Wörden GmbH & Co. KG.

Responsibilities

The shipboard management headed by the Master and Chief Engineer is fundamentally responsible for maintenance on board.

Work involving the removal of the vessel from service as well as the deployment of outside companies or yard stays will be co-ordinated by the company.

Description of Routines

5.1

Planned Maintenance

A maintenance plan is provided for each individual ship. In the GPI (General Procedure Instructions) of the company all units, spaces, tanks, equipment, etc. along with the jobs to be done are individually listed. This includes acceptance tests / inspections / pressure tests of specific plant parts (e.g. tail shaft, pressure vessels, etc.) by external surveyors.

All of these individual points will be assigned a service life either in operating hours or periods of time, geared to manufacturers instructions, flag and class requirements, operating experience and the results of previous tests. In the case of some plant parts this can mean 'as required', where on the basis of performance data a definite evaluation of its condition is possible.

On the basis of the maintenance plan those responsible determine which work is to be done and plan its implementation, monthly in advance. This applies especially to requests for spares or outside contractors via the Fleet Manager and/or Technical Superintendant.

In the case of measures relevant to the flag state or class, the appropriate survey organisation is consulted.

5.2

Repairs after Damage

Since damage cannot be planned, neither can its repair. Damage, which can be repaired using shipboard resources will be removed. Otherwise the rules set out in section 4 apply.

In the case of damage relevant to flag state or class, the appropriate survey organisation is consulted. Where damage is relevant to insurance, if necessary, an average adjuster will be consulted via the company.

Where damage occurs which cannot be immediately removed, in close co-operation with the flag state and classification society, it is determined under which conditions or with which limitations the ship can be operated until repair. If the ship's safety cannot be guaranteed, further operation until repair is not possible.

Repairs carried out are recorded in the maintenance plan (current), and the next (due) date is recorded, taking the damage into account.

5.3

Major Maintenance and Yard Periods

Maintenance requiring a break in operations will normally be planned for a convenient date, or the next yard period, if the technical condition will not suffer as a result, and if necessary the classification society agrees. Typically, major works which will become due shortly after the yard period will be brought forward in accordance with section 5.1.

Approximately three up to six months before the due date the company determines a planning date for the next shipyard period. Thereafter a yard recommendation list is drawn up by the ship's management and forwarded to the company. This list includes all points to be dealt with in the view of the ship's management during the yard period on the basis of the maintenance plan and condition.

  • classification and flag state requirements

  • maintenance plan

  • condition report

  • deficiency reports (damage)

  • yard recommendation lists by ship's management

  • suggestions made by other departments of the shorebased organisation

a yard list is drawn up by the company, which will be forwarded to one or more suppliers. On the basis of an analysis of incoming offers the company decides on the date and location of the yard period and the quantity of jobs to be carried out, where these are not necessary for the maintenance of the technical standard.

Remarks

  • Mandatory records in log-books and journals are not affected by this (documented) procedure.

  • Instructions and manuals for particular types of ship are taken into account.

Documentation

  • The maintenance plan (laid down in the GPI of the company) is continually updated.

  • The most important works carried out will be reported to the company.

All damage and maintenance work, which cannot be immediately carried out, will be reported to the company with the deficiency report (Fo-008). Major damage will additionally and without delay be reported by telephone or fax.

  • Each ship runs a work log. In this log, in chronological sequence, all completed jobs including replaced parts as well as measurement and test results are recorded. If necessary, references to job reports are to be added. In the larger units a number of work logs can be kept, e.g. deck work log, engine work log, auxiliary diesel log, main-engine log, etc..

  • Job reports and, if appropriate, invoice copies ( where these contain information regarding work carried out) will be found on board.
