Recruitment of Personnel

1.

Purpose

Schiffahrtskontor tom Wörden GmbH & Co. KG staff employed in the shorebased organisation and on the ships are qualified for their assignments. In the case of newly-employed staff attention is paid that the requirement profile is fulfilled to the greatest possible effect. For the seafaring personnel ensuring fulfilment of the appropriate regulations has to be added.

Application

This Documented Procedure applies to the Shorebased Organisation of Schiffahrtskontor tom Wörden GmbH & Co. KG.

3.

Definitions and Abbreviations

3.1

Definitions

  • Safety means the safe operation of vessels according to the ISM Code.

  • Environmental Protection means the protection of the maritime environment according to the ISM Code.

  • Safety and Environmental Protection System (SE System) means the System according to ISM Code and STCW 95 of Schiffahrtskontor tom Wörden GmbH & Co. KG.

  • Safety and Environmental Protection Manual (SE Manual) means the documentation of Schiffahrtskontor tom Wörden GmbH & Co. KG's SE System.

Responsibilities

The Managing Director and Fleet Manager is responsible for engaging shorebased organisation staff and seagoing personnel.

5.

Description of Routines

5.1

Personnel for the Shorebased Organisation

First of all, the free position will be advertised in the form of advertisements, request to the labour ministry, etc., on the basis of the existing job description for this position. A preselection will be made from the incoming applications. The selected candidates will be invited for interview. Up to this point the process can be handled by a personnel consultant.

The job interview is carried out by the Managing Director. During the discussion first of all using the job description it is investigated how well the candidate already meets the requirements, or which other qualifications they can bring in. Furthermore modalities coming into question for that particular workplace are discussed.

The Managing Director takes the decision. A probationary period is always agreed and, if necessary a fixed-term contract. Applicants not taken on receive a rejection and their application documents back.

5.2

Seagoing Personnel

5.2.1

Selection Procedure

The selection of suitable applicants for assignment on board is carried out

  • by reason of receiving a request from the ship, or

  • without a ship's request, when qualified staff are waiting for an assignment (known staff or new applicants).

The position becoming free on board can be filled by

  • Hiring a new applicant, or

  • re-hiring a known employee, or

  • reinstating a permanently employed.

5.2.2

Filling positions becoming free on board

Positions becoming free on board of Schiffahrtskontor tom Wörden GmbH & Co. KG's vessels will be filled according to the following criteria:

  • time available before signing on

  • nationalities coming into question in view of present manning of ship

  • necessary proof of qualification for the rank on this ship

  • experience in the position to be filled

  • experience on this type of ship

  • valid medical examination and travel documents

  • if necessary, suitability / aptitude for ship which carries passengers (service personnel)

  • taking personal wishes of the applicant into account

  • preventing people from coming together, who did not get along together on other ships

  • travel costs

It will be attempted to fulfil all criteria optimally, but this is not always a success. The proof of qualification, medical examination and travel documents must however always be fulfilled, otherwise it is not possible to fill this position with this employee.

Staff on board receive a limited period contract only for that particular ship, respectively a “Contract of Employment” if necessary. If suitable they will be assigned again and again to further ships.

5.2.3

New hirings

  • After receiving a written application (direct and independently or via a contracted crewing agency) the qualification will be checked as follows:

  • completeness of the necessary proof of qualification for that rank

  • references, certificates, sailing record

  • valid medical examination and valid travel documents

  • knowledge of English language ( to be tested using the written application and/or a personal / telephone discussion)

  • if necessary, information from one or more previous employers

  • personal introduction in the office (provided justifiable regarding distance)

Checking qualifications is either carried out by the Managing Director, Fleet Manager or the contracted crewing agency.

When being checked by the Managing Director and/or Fleet Manager, the new employee's proof of qualification is checked and remains as a copy in his personnel file.

The crewing agency Scott Shipping Isle of Man is contractually obliged to check the employees documents thoroughly. The data in the documents are accessible to Schiffahrtskontor tom Wörden GmbH & Co. KG at any time by electronical link. Schiffahrtskontor tom Wörden GmbH & Co. KG has contractually agreed with the crewing agency that on request copies of all documents will be faxed immediately.

Schiffahrtskontor tom Wörden GmbH & Co. KG reserves the right, in cases of doubt, to make direct enquiries at the office of the certificate issuer, whether or not the certificate is a fake.

5.2.4

Rehiring / Reinstatement

Employees, who have already proven their worth on vessels of Schiffahrtskontor tom Wörden GmbH & Co. KG , will be given preferential treatment when being assigned to further ships. For this purpose, a new contract will be concluded for the ship in question, or for permanently employed, a new “Contract of Employment” will be executed, if necessary.

Employees, looked after directly by the company, present copies of the necessary proof of qualification there before each assignment, which wherever possible will be compared with the originals, or the previously presented checked copies. The contract is only closed after successfully checking these documents.

Employees, looked after by a crewing agency, present the necessary proof of qualification there before each assignment. The crewing agency checks the documents. Access to the datas of personnel is always available by electronical link.

Shipboard Management has to verify the original presented certificates, licenses etc. using Fo-001 Qualification and Familiarisation.

Copies of the proof of qualification remain with the crewing agency.
