Voyage Planning

Purpose |

|
As with all in-company operations, ships' voyages are carefully planned. By creating controlled conditions the occurrence of errors / deficiencies during a voyage can largely be precluded.
|

This Documented Procedure applies on all ships managed / operated by Schiffahrtskontor tom Wörden GmbH & Co. KG.

Responsibility |

The Navigation Officer is responsible for drawing up the voyage plan. He works in close co-operation with the Chief Engineer with respect to technical details such as fuels etc.. The Master checks the voyage plan and initials it.

5.1 |
Planning a new voyage |

The Navigation Officer checks all information available on the sea area about to be sailed, from sources such as

From these a voyage plan is compiled which comprises the following data:
|

Admiralty charts required for a specific voyage plan are laid out, and the courses and waypoints marked on them which are to be steered. At the same time charts are checked to make sure their status of revision is entirely up to date or corrected if need be; non-existent Admiralty charts must be ordered for delivery before a voyage commences. |

Where electronic navigation systems are used, these should be programmed accordingly, and tracks and maps drafted and stored. Reference is made to the stored data in the respective voyage plan. Attention should also be paid that the status of revision for the system in question is entirely up to date. Back-up copies of stored voyage plan data are made on external data media. |

The Master checks the voyage plan and initials it. |

Before a voyage commences those responsible should ensure that the ship's equipment and her fuels and lubricants are suitable and adequate for the planned voyage.

5.2 |
Planning a voyage which has already been undertaken regularly or several times |
|
Ships which run on regular lines repeatedly use the voyage plan already available. The plan is rechecked prior to the next voyage and corrected if need be. Otherwise procedure is carried out as described under Section 5.1.

5.3 |
Voyage planning by the Chief Engineer |
|
The Chief Engineer places all the necessary data required for engine department calculations at the Navigation Officer's disposal. |
|
The Navigation Officer places all planning data at the Chief Engineer's disposal, who, from these and actual stock available, then calculates requirements for equipment and fuels to be taken on board before a voyage commences, such as bunkers, lubricants etc.. In accordance with the valid Documented Procedures the Chief Engineer then orders the equipment and fuels required for delivery before a voyage.
